1. Company Information

BinHQ is a product operated by MindWerks, located at 66 W Flagler St, 9th Floor, Miami, FL 33130, United States. Throughout this Privacy Policy, "BinHQ," "we," "us," and "our" refer to MindWerks and the BinHQ application.

2. Information We Collect

We collect the following categories of information when you use BinHQ:

Merchant Data

Information about you, the store owner or staff member:

  • Email address, name, and role within the application (admin, picker, etc.)
  • Your Shopify store name, domain, and Shopify plan
  • Your subscription plan and charge status

Store Data

Information from your Shopify store needed to provide the service:

  • Product information (titles, SKUs, variants, images, barcodes)
  • Order information (order numbers, line items, fulfillment status)
  • Inventory levels and location data

Protected Customer Data

BinHQ has been granted access to protected customer data by Shopify. We access the following customer fields solely to display them on pick lists and packing slips for order fulfillment purposes:

  • Customer name (first and last)
  • Shipping address (street, city, state/province, postal code, country)
  • Email address (for fulfillment notification purposes only)
  • Phone number (for shipping label purposes only)

We do not use protected customer data for marketing, advertising, analytics, profiling, or any purpose other than fulfilling orders through BinHQ. Customer data is never sold, shared with third parties, or used to contact customers directly.

Usage Data

  • Actions taken within the application (e.g., orders fulfilled, picks completed)
  • Timestamps of activity

Billing Data

  • Your subscription plan and charge status
  • Shopify handles all actual payment processing. We do not collect or store credit card numbers or payment credentials.

3. How We Use Your Information

We use the information we collect solely for the purposes of providing and improving BinHQ. We do not use your data for advertising, profiling, or any unrelated purpose. Specifically:

  • To provide the Service — generating pick lists, tracking inventory, managing fulfillment workflows, and all core BinHQ functionality.
  • To improve the product — understanding how features are used so we can make BinHQ better.
  • To send transactional emails — order notifications, alerts, and system messages related to your use of BinHQ.
  • To advise you of upgrades or new services — we may occasionally inform you about new features, plan upgrades, or other services offered by BinHQ or MindWerks.io. You may opt out of these communications at any time.

4. What We Do Not Do

We do not sell your data to third parties. Your store data, personal information, and usage data are never sold, rented, or traded to outside parties for their marketing or any other purpose.

5. Data Sharing and Service Providers

We share data only with the service providers necessary to operate BinHQ. These providers are contractually obligated to use your data only for the purposes of providing their services to us:

  • Neon — database hosting (stores all merchant, store, order, and customer data)
  • Resend — transactional email delivery (receives email addresses for sending notifications such as low stock alerts and fulfillment confirmations)
  • Railway — application hosting and infrastructure (processes all data in transit)
  • Shopify — e-commerce platform (source of store, order, product, and customer data via authenticated API access)

We do not share your data with any other third parties except as required by law (e.g., in response to a valid subpoena or court order).

6. GDPR Compliance

BinHQ complies with Shopify's mandatory GDPR webhook requirements. We handle the following webhooks as required by Shopify:

  • customers/data_request — we respond to requests for customer data associated with a store.
  • customers/redact — we delete customer-specific data when requested.
  • shop/redact — we permanently delete all store data within 48 hours of receiving this webhook after app uninstall.

If you are located in the European Economic Area (EEA), you have additional rights under the General Data Protection Regulation, including the right to access, correct, delete, and port your data. To exercise these rights, contact us at hello@binhq.io.

7. Data Retention and Deletion

Your data is retained for as long as the BinHQ app is installed and your account is active on your store.

On uninstall: your store is deactivated immediately and access to BinHQ ceases. Your data is retained for 48 hours to allow for reinstallation. When Shopify sends the shop/redact webhook (typically within 48 hours of uninstall), all of your store data — including merchant data, store data, protected customer data, and usage data — is permanently deleted from our database. This process is automatic and irreversible.

Customer data from orders is stored only for as long as the associated orders exist in BinHQ. When an order is deleted or your store data is redacted, all associated customer data is deleted with it.

You may request manual deletion of your data at any time by emailing hello@binhq.io. We will process deletion requests within 30 days. You can also export your data before uninstalling from the Settings page within the app.

8. Cookies

BinHQ uses session cookies for authentication purposes only. These cookies are essential for the app to function and keep you logged in during your session.

We do not use third-party tracking cookies. We do not use cookies for advertising, analytics, or any purpose other than maintaining your authenticated session.

9. Security

We take the security of your data seriously and implement the following measures:

  • All data is encrypted in transit using HTTPS/TLS.
  • Database credentials are encrypted and securely managed.
  • API keys are hashed using SHA-256 before storage.

While we employ commercially reasonable security measures, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security but are committed to protecting your data to the best of our ability.

10. Children's Privacy

BinHQ is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us at hello@binhq.io and we will promptly delete that information.

11. Your Rights

You have the following rights regarding your data:

  • Data export — you may request a copy of the data we hold about you and your store.
  • Data deletion — you may request that we delete your data at any time. Uninstalling the app also triggers automatic deletion as described in Section 7.
  • Opt out of marketing emails — you may opt out of non-transactional emails at any time by using the unsubscribe link in those emails or by contacting us directly.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make changes, we will update the "Last updated" date at the top of this page. We encourage you to review this page periodically. Your continued use of BinHQ after any changes constitutes your acceptance of the updated policy.

13. Governing Law

This Privacy Policy is governed by and construed in accordance with the laws of the State of Florida, United States, without regard to its conflict of law provisions. Any disputes arising under or in connection with this policy shall be resolved exclusively in the state or federal courts located in Miami-Dade County, Florida.
